Policy

Toilet Equity is committed to safeguarding the personal information entrusted to us by our donors, volunteers, employees, and subscribers. We understand your concerns about Internet privacy and manage your data with care. We never sell, share, or disclose any personal information about you, other than as described in this policy.

 

When you make a donation to Toilet Equity, subscribe to our newsletter, or become a volunteer, you will receive emails from us. If you do not wish to hear from us anymore, you can use the unsubscribe feature on these emails. 

 

This policy outlines the principles and practices we follow in protecting your personal information. This policy applies to Toilet Equity and to any person providing services on our behalf. A copy of this policy is provided to any stakeholder on request. 

 

This policy will be updated periodically. If you are subscribed to the Toilet Equity Newsletter, you’ll be notified by email of any changes. The most up to date copy of this policy will be available on our website.

What is personal information? 

Personal information means information about an identifiable individual. This includes an individual’s name, home address and phone number, age, sex, marital or family status, an identifying number, financial information, educational history, etc.

What personal information do we collect? 

We collect only the personal information that we need for the purposes of receiving donations of time or money and for serving the community. This information will vary based on what role you play in Toilet Equity. 

 

If you are a donor, we will collect any information necessary to process your donation, including name, address, and financial information. This data is kept secure behind our paywall software, Stripe, and only the necessary Toilet Equity staff and board members have access to it. Unless you request anonymity (which you can do by emailing info@toiletequity.org), we will thank you by name on our website and in our annual report. 

 

If you are a volunteer, we collect your name and contact information. This data is kept secure on a restricted cloud drive, and only Toilet Equity staff and board members have access to it. Unless you request anonymity, (which you can do by emailing info@toiletequity.org), we will thank you by name on our website and in our annual report.

 

If you are a subscriber or are part of the broader Toilet Equity community, we collect your name and contact information, when provided. This data is kept secure on our email marketing platform, MailerLite, and only necessary Toilet Equity staff and board members have access to it. We will never sell or provide your data to another entity without your permission. 

What about cookies? 

We use cookies to provide you the best experience possible on our website, as well as to help us know who visits our site and improve our internet visibility. By browsing our site, you agree to our use of cookies. 

 

We may also use third-party advertising companies that curate the advertisements you see wherever you are logged in with the same information (e.g. your Google account). Doing so makes the ads you see as effective as possible, helping our fundraising efforts. This means that Toilet Equity and these other third-party advertising companies may use cookies or other technology to collect information about the way you use our site and other sites, including your IP address, browser and mobile network information, and website activity. We may use the information gathered to determine the effectiveness of our content, deliver better and more curated content, better understand our viewers’ demographics and their activity, and other purposes.

Toilet Equity may also use Google Analytics, which is a service provided by Google that monitors our website traffic. We may use it to allow us to learn more about our viewers, including the number of returning or unique visitors, how they found us, and their website activity. As part of Google Analytics, Toilet Equity may also use the Google Tag Manager, Google Signals, and Google Advertising Features, which allows Google Analytics to track activity across devices. These features can give better insight into who our viewers are and what they’re interested in. You can edit the information Google has surmised about you or opt out completely by visiting Google Analytics’ opt-outs

 

We won’t match your identifiable personal information with your non-identifiable personal information collected through any of these features without your consent. We will never sell your personal information.

How do we use and disclose personal information? 

We use and disclose personal information only for the purpose for which the information was collected, except when compelled by law to disclose. 

 

If you’d like to verify, correct, change, or remove your personal information with us, please contact info@toiletequity.org. There is also an Unsubcribe button at the bottom of every newsletter you receive from us. 

What information do we provide for employment or volunteer references? 

In some cases, after your employment or volunteer relationship with us ends, we will be contacted by other organizations and asked to provide a reference for you. It is our policy not to disclose personal information about our employees and volunteers to other organizations who request references without the former employee or volunteer’s prior request. 

 

Without a prior request to act as a reference from you, we will only confirm that you were an employee or volunteer and the dates you worked with us, as well as provide a summary of the duties you performed for Toilet Equity and a statement of whether you are eligible for rehire with Toilet Equity.

How do we safeguard personal information? 

We make every reasonable effort to ensure that personal information is accurate and complete. We rely on individuals to notify us if there is a change to their personal information that may affect their relationship with our organization. If you are aware of an error in our information about you, please email info@toiletequity.org and we will correct it on request wherever possible. 

 

We protect personal information in a manner appropriate to the sensitivity of the information. We make every reasonable effort to prevent any loss, misuse, disclosure or modification of personal information, as well as any unauthorized access to personal information. 

 

We use appropriate security measures when destroying personal information, including shredding paper records and permanently deleting electronic records. 

 

We retain personal information only as long as it is reasonable or required to fulfill the purposes for which the information was collected or for legal or business purposes. 

How do you access our records? 

Individuals have a right to access their own personal information in a record that is in the custody or under the control of Toilet Equity, subject to some exceptions. For example, we will refuse to provide access to information that would reveal personal information about another individual. 

 

If we refuse a request in whole or in part, we will provide the reasons for the refusal. In some cases where exceptions to access apply, we may withhold that information and provide you with the remainder of the record. 

 

You may make a request for access to your personal information by writing to info@toiletequity.org. You must provide sufficient information in your request to allow us to identify the information you are seeking. 

 

You may also request information about our use of your personal information and any disclosure of that information to persons outside our organization. In addition, you may request a correction of an error or omission in your personal information. 

 

We will respond to your request within 45 calendar days, unless an extension is granted. 

How do we protect children? 

Our website is not intended for the use of children under 13. We do not seek to be used by children under 13. We will not knowingly accept information from children under 13. By using this website, you attest that you are at least 13 years old.
